Review Management

Quick answer

Review management is the specific practice of requesting, monitoring and responding to customer reviews on the platforms buyers actually check, such as G2, Capterra or an app marketplace, so a brand's rating and the responses underneath it reflect the current product rather than whichever moment a reviewer happened to post.

Why it matters

A review's star rating and written complaint often outlive the issue being complained about. Buyers researching a purchase tend to read the review and any response together, so a timely, specific reply to a bad review frequently does more to reassure a buyer than the original review does to scare one off. Leaving a cluster of negative reviews unanswered reads as confirmation to a researching buyer, even when the underlying problem was fixed long ago. Review management is one focused part of the broader work of managing a brand's reputation online, narrower than tracking every mention but closer to where a buyer actually makes a decision.

How to measure it

Track response rate, what share of reviews get any reply at all, and response time, how long a reply takes to appear, alongside the plain rating trend over time, on every platform a brand is listed on. A dip in rating that coincides with a batch of unanswered reviews is a different problem, and a different fix, than a dip that happened even with fast, specific responses already in place.

Example

A team notices their rating dipped slightly after a batch of reviews about a recent migration. Checking the response data shows most of those reviews got no reply at all, while an earlier dip that was answered quickly recovered faster. Responding to the unanswered batch, even without changing anything about the product itself, is often enough on its own to start the rating moving back.

Frequently asked questions

Is review management the same as online reputation management?

Review management is one part of the broader practice. Online reputation management also covers communities, news, social and AI answers, while review management focuses specifically on customer reviews and their responses.

Should every review get a reply, even positive ones?

A reply to a negative review matters most since researching buyers read it closely, but a short reply to a positive review costs little and signals that the brand is actually listening on that platform.

Do review-site responses affect what an AI engine says about a brand?

Yes. Some AI engines retrieve review pages directly, so a visible, specific reply underneath a complaint can become part of what the engine summarizes, alongside the original complaint itself.

What's a reasonable response time for a negative review?

Within a few business days is typical for an active brand. A faster reply on a serious complaint matters more than on a minor one, but any reply is better than none at all.
